An employee record represents one person who works for, or is applying to, your company. It holds identity and contact details, employment status and dates, DOT status, job category, and license or ID information. Tests, test requests, random selections, accidents, trainings, and documents all link to it.
Employees and applicants
An applicant is a person you are considering. An employee has been hired. Both use the same kind of record, so hiring an applicant keeps the history together. Terminated employees and removed applicants stay in Med-Stop in their own lists.
DOT status
An employee who performs safety-sensitive functions under a DOT agency rule is DOT-regulated and subject to DOT drug and alcohol testing under 49 CFR Part 40 and the agency's own rule, such as 49 CFR Part 382 for FMCSA drivers. See Who is a DOT-regulated employee?.
In Med-Stop, the DOT status and primary DOT agency on the employee record decide which DOT rules, compliance checks, and random pools apply. Set them carefully, and keep DOT and non-DOT testing separate.
