Order a drug or alcohol test

Use a test request to order a drug test, breath alcohol test, or medical examination for an employee or applicant. The request tells the collection site what to do, gives the employee an authorization code, and, for DOT tests, records how the employee was notified as required by 49 CFR 382.113.

Before you start

  • The person must have an active employee or applicant record. You cannot order a test for a terminated or removed employee. See Add a new employee.
  • For drug tests, your company needs an active laboratory account and a signed Drug Testing eCCF Acknowledgement (Company menu). A new company's lab account can take a few business days to set up.
  • If your company pays, check that your prepaid Med-Stop credit covers the test. See Increase company Med-Stop credit.
  • For a random test, start from the random selection so the request is linked to it.

Steps

  1. Start the request. Choose Employees > New Test Request, the Test Request quick task on the Welcome dashboard, or New Test Request from the employee's record.
  2. Select the employee. Start typing the last name and select the person, or select the list icon to browse applicants and employees. Select Next.
  3. Link a random selection (if shown). If the employee has an open random selection, choose it in Create Request based on Open Random Selection. The service, DOT status, and reason are filled in from the selection.
  4. Specify the test.
    • Request Category: the service, such as a drug test, alcohol test, or medical examination.
    • DOT Regulated Test: Yes for tests required by DOT rules, No for company-policy tests. It is set for you if the employee is only DOT or only non-DOT. For DOT tests, also choose Regulated by DOT Agency.
    • Request Reason: for example pre-employment, random, post-accident, reasonable suspicion, return to duty, or follow-up.
    • Drug Test Panel: for non-DOT drug tests only.
    • Require Observed Drug Test Collection: set to Yes automatically for return-to-duty and follow-up tests. For other DOT reasons, an observed collection needs a Reason for Observed Collection.
    • Additional Instructions for the collector, if any.
  5. Handle a pending request (if shown). If the employee already has an open request for the same service, Med-Stop shows it. You can close it with Determine Pending Test Request Status (a No Show needs a remark) or leave it open.
  6. Choose the date, time, and location.
    • Enter Date of the Test and Time of the Test in the site's time zone, up to 90 days ahead.
    • In Select Test Location, search near an address, city, or ZIP code you enter (then select Find), near your company headquarters, near the employee's home, or in your preferred locations. You can also enter a site manually.
    • Select a site in the list to see its address, phone, and hours. Select Map to see nearby sites on a map, then Select this location on the site you want. Select Preferred to save a site for next time.
    • If the site does not perform the test at that time, or cannot do observed collections, Med-Stop warns you. You can pick another site or explain why this site is needed.
  7. Review the test site. Check the site details. If the site requires or allows appointments, call or visit the page shown and enter the appointment details. Additional site charges may apply at some sites.
  8. Choose who pays. In Test Payment Form, choose your company's prepaid Med-Stop credit or payment by the employee (Med-Stop sites only). If your credit does not cover the test, pay the difference by card or increase your credit.
  9. Notify the employee. Choose Send Notification Text Message to the Phone Number, Send Notification by E-Mail, or Other form of Test Notification with details. A DOT request needs at least one notification method.
  10. Review and finish. Check the summary (employee, service, reason, DOT status, date, time, location, payment). Use Back to correct anything, then select Finish.

What happens next

  • The request is saved as open, and the employee gets the text message or email you chose. If the site accepts faxed requests, Med-Stop faxes it the request.
  • Med-Stop shows the authorization code for the collector: a Med-Stop Test Request Code, a Quest QPassport ID, or a FormFox Marketplace Authorization Code, depending on the site. The employee must give this code to the collector.
  • If the authorization code cannot be obtained, the request is canceled. Create a new request and choose a different site.
  • From the finish screen you can open additional tasks, such as viewing or printing the request notification. See Print or resend a test request notification.
  • When the test is done at a Med-Stop or electronically connected site, the test record is added to Med-Stop automatically and the request is completed. Alcohol results appear right away; drug results appear after MRO review.
  • If you entered a site manually, your prepaid credit cannot be used, and the results do not arrive automatically. Record them yourself with a test record.

Track the request

Open Employees > Test Requests. The list shows open requests by default. Open a request to see its status and history, or open the test from Find test results once it is collected.
